How to move from erratic paper records to traceability and increased productivity: The case of the transportation division of the Municipality of Montevideo.

GDW Inspections is an inspection and audit management software that allows, through artificial intelligence, to carry out the management of field workers in the framework of governmental organizations.

It is a web platform linked to mobile devices that understands the processes of each department, secretariat or institution and then executes them in the field. These processes are designed, executed and controlled in the field, and the information is collected in real time and consolidated in the key KPIs of each organization. The platform is horizontal with vertical applications and is based on georeferencing or geomanagement technology, data analytics and artificial intelligence to make predictive models with historical data.

The benefits of GDW Inspections: increased productivity, process automation and anticipating the future

One of the main benefits of GDW Inspections is linked to increased productivity, as it allows data to be collected in the field in a digital, decentralized and real-time manner.

In addition, GDW Inspections automates processes, which optimizes workflows in the field. The solution designed by GDW adapts to all the needs of your organization, and this is achieved by integrating with the main management software used worldwide as well as your company's own tools.

By having a gamification module, which qualifies the desirable behaviors of the technical teams, GDW Inspections motivates and engages them with the values and objectives of your organization.

Artificial intelligence makes it possible to predict the behavior of demand, estimating the type of work of personnel in the field as well as the skills that will be required to meet those needs.

Finally, GDW Inspections is a quality-assured tool.

Success story: the transport division of the Municipality of Montevideo

The responsibility of the transportation division of the Municipality of Montevideo is to manage both collective and individual transportation and it is in charge of regulating, regulating, controlling and planning the collective transportation of passengers, cabs, remises, ambulances and school students.

Before GoDoWorks: paper records, errors, wasted time.

Before GoDoWorks, the division worked with paper and on the basis of minutes in which inspections were carried out on public roads and at bus terminals and, at the end, inspectors had to return to the offices and transcribe them into computer programs in order to have the information organized.

At the same time, these forms had to be scanned and sent to the company via email so that the company could see the status of the car and take action.

This way of working entailed great difficulties. The main ones were to find the documentation associated with each inspection, i.e. the traceability of that inspection, and in the case of a repeat inspection, for the warning, they had no documentation. For example, some workers say that they had to have a lot of blank forms, and that they had to be very careful not to run out of forms. It could also happen that inspectors did not have the history of a car while carrying out an inspection, i.e., they did not have previous inspections so they could not compare the condition of the car, whether it had improved or deteriorated.

The consequences of working with paper and without a digital tool that optimizes the information processes were double workload and a lack oftraceability that affected the productivity of the work. Before using GDW Inspections, inspectors did not have an accurate control of the cars they inspected, so they could often inspect the same car twice by mistake.

It is also important to mention the loss of time involved in transcribing the data into the system to establish the statistics. For many inspectors, that time in the office is time that could be spent on the street, i.e., in the field, inspecting cars.

To summarize, the greatest difficulties faced by the transport division of the Montevideo City Council had to do with centralizing the information collected from the different areas so that it could then be transformed into a monitoring system that the authorities could use to make decisions.

After GDW Inspections: mobile device, traceability, connectivity

The objective of incorporating GDW Inspections within the framework of the work carried out by the Transportation Division of the Municipality of Montevideo was to incorporate technologies to systematize and provide a better service to the population.

The division currently uses a mobile device that allows it to perform the inspection more quickly and with the advantage of providing real-time information to both the quartermaster and the transport operators. The GDW Inspections solution also allows inspectors to view the history of each car, which allows them to see whether their situation has improved or deteriorated. In addition, when operated with mobile devices, they can take pictures of the damage. Thanks to the geo-management provided by artificial intelligence, inspectors are now able to report breaks, scratches, broken headlights or windshields, as well as the state of cleanliness of the car, whether in its accesses, its seats or the roof. These photographs are sent directly to the companies so that they can know where to focus their work.

Importantly, GDW's solution has enabled inspectors to improve inspection time.

A government software must be secure in terms of information processing, something that is fully contemplated by GDW Inspections. In addition, another thing that GDW Inspections takes into account is that a solution of these characteristics must be sustainable over time, to assure the administration and those who provide services that the quality of the service can be maintained over time.

Finally, the use of the GoDoWorks tool in the Municipality of Montevideo is expanding to other areas and services, proof that the experience has been a resounding success.
